The implementation of Workday Finance and Human Capital Management is just months away (July 2024.) Later this spring, all SCSU faculty and staff will receive formal training and learning resources to prepare them for this initial move to Workday.
Although the HR and Finance areas will see the majority of the changes, all staff and faculty will see at least some new processes related to time and absence, expense reports, purchasing, budgeting and more. Accordingly, individual training pathways will be assigned to each employee based on the specific training needs of their role(s). All employees will be trained on essential functions such as logging in and navigating Workday, and time and expense reporting. As a reminder, students and student employees will not be affected by the July 2024 Workday Finance and Human Capital Management implementation and will not need to participate in training.
As we prepare for formal training, all faculty and staff are encouraged to review early learning materials available on the Friends of NextGen site. A few materials we think are especially helpful are linked below.

NextGen is the project that will ultimately create a new technology landscape for Minnesota State. The NextGen Project includes the implementation of Workday, a cloud-based system designed to meet the technology needs of organizations like Minnesota State colleges and universities. Workday provides a system with an intuitive interface and mobile capabilities that encourages collaboration and will evolve in the years to come through regular updates.
The Workday implementation will be delivered in two overall phases beginning with Finance and Human Capital Management areas and followed by student-related areas.
In July 2024, Workday will replace the Integrated Statewide Records System (ISRS) for many HR and finance-related business processes throughout the Minnesota State system, including St. Cloud State. Although the HR and Finance areas will see the majority of the changes, all staff and faculty will see at least some new processes related to time and absence, expense reports, purchasing, budgeting and more.
However, not all faculty or staff will be affected in the exact same way due to differences between bargaining units and job duties. Furthermore, students (including student employees) will not be impacted by these changes.

To help make the transition to Workday as seamless as possible for faculty and staff, Minnesota State is implementing a robust “just-in-time” training program that will begin in early May 2024 and will include different levels and modalities of training to ensure users are trained on the proper functions in Workday.

What is the difference between NextGen and Workday?
NextGen is a strategic initiative that creates a modern technology landscape for Minnesota State – one that meets the changing needs of our students and campuses now and in the future. It includes multiple projects including but not limited to the implementation of Workday, Companion Projects and more.
Workday is an Enterprise Resource Planning (ERP) tool. The implementation of Workday across the Minnesota State system is one part of the NextGen project.
